Description:

A temporary opportunity has arisen to lead the Department’s Digital Records Management team within the MOJ’s Information Services Division (ISD) in the Communications and Information Directorate. The role offers the opportunity to:

  • Drive MOJ’s strategic information and records management policy on digital information and the digital corporate record.
  • Identify opportunities from MOJ’s information management technology portfolio and collaborate across MOJ to realise them.
  • Lead colleagues from across the ISD and work closely with the Digital and Technology Directorate and others to ensure that the MOJ’s digital information assets are appropriately managed in line with legal requirements and user needs.

Information and information management is vital in any organisation as it plays an integral role in delivering day to day business and safeguarding the corporate record. You will be joining the Knowledge and Information Management profession at a very exciting time as across government information management is undergoing a transformation with departments transitioning from traditional paper to digital records. In MOJ this transformation is also underway.

We are looking for an outstanding candidate who will pick up this challenge very quickly and lead a busy team in fulfilling the ambition to drive the move towards digital information review and preservation of records or deletion (where necessary). You will also lead the identification of opportunities for and incorporation of modern technology and new ways of working into information policies, processes and guidance.

The team works within a legislative framework (Public Records Act 1958 and 1967, GDPR and Data Protection Act 2018, Freedom of Information Act 2000) and in accordance with guidelines set by independent inquiries to obtain, store, safeguard and preserve records, making them available to the public where appropriate.

The post is located with the team in 102 Petty France, London although flexible arrangements will be considered.

Key responsibilities include:

Reporting to the Head of Disclosure you will:

  • Set the direction for and manage the MOJ’s use of its current corporate digital records system (Just Store) and act as the intelligent client for the Just Store application to ensure a smooth service is provided.
  • Determine and set the information and records management policy that underpins the Just Store application and feed into and drive future digital information management technology to ensure that these support user behaviours.
  • Contribute to the strategic direction for the use of technology in information management and collaborative working that will deliver new and effective business capabilities and ensure compliance with information legislation.
  • Ensure that digital information and record keeping across the MOJ is consistent with the MOJ’s information management handling regimes and information lifecycle.
  • Plan for and provide assurance that the review and transfer of digital records is managed effectively and to high standards.
  • Drive the development of a digital information management capability roadmap, ensuring that MOJ gains maximum value-for-money from its IT investment and that changes are managed, timed and supported.
  • Work with MOJ Directorates including Digital and Technology advising on effective use of SharePoint and other digital channels for delivery of MoJ business requirements.
  • Work with other government department’s records teams and the Government Digital Service to share best-practice and develop appropriate policies.
  • Stay informed about technology development and best practice to anticipate technical advances that could benefit MOJ’s information management needs.

Desirable Experience:

Experience of SharePoint or electronic records management systems at an administrative or development level.

Lead a team of approximately 4 staff based in London HQ

Direct line management of one Band B.

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Grading Structure Review

The Ministry of Justice is currently undergoing a review of posts which are currently graded at Band A to realign our grading structure with the majority of the wider Civil Service.

Security Clearance (SC)
