The Role:

We’re recruiting for a Diary Manager here at Justice Digital, to be part of our warm and collaborative Chief Technology Officer’s team.

The Ministry of Justice Digital and Technology team is made up of around 1,300 digital and technology specialists, located throughout the UK with hubs in London, Sheffield, Birmingham and Glasgow. We support the 80,000 staff working within the Ministry of Justice (MoJ) who do important, even life-changing work, with citizens and legal professionals.

As a function, we provide digital services, technology and support for the digital transformation of prisons, probation and wider justice system through:

  • Fixing the basics, providing modern and secure technology to users across the department.

  • Making things more efficient by providing access to justice through simpler services such as applying for legal aid online

  • Thinking about the whole system - working with colleagues across the justice system to design and deliver services that really work for those that use them

  • Building diverse, inclusive and brilliant teams to reflect the users that we serve

Key Responsibilities:

The Diary Manager will play a crucial role in supporting the smooth and effective running of the Director’s office. The Chief Technology Officer is the senior Civil Servant at Justice Digital who has responsibility for technology, data and security standards, products, governance and processes. Working in their office is fast-paced, exciting and dynamic.

You will get excellent exposure to many Senior Civil Servants and Ministers, and learn a lot about what it takes to run a busy and high-profile digital organisation.

We are a large but friendly organisation that values honesty, understanding and kindness. You will also have the opportunity to be part of a network of business support staff and will work very closely with other Director offices in this role.

The role of Diary Manager is crucial in positively building those relationships, by ensuring the Chief Technology Officer can use their time as efficiently as possible.

This is a varied role that requires a deep understanding of the Director’s aims and business objectives, excellent organisational skills and the ability to relentlessly prioritise.

You will:

  • Support the Chief Technology Officer by managing their workload and priorities through comprehensive, prioritised diary management and calendar organisation.
  • Schedule meetings and resolve conflicting demands to enable the Chief Technology Officer to deliver on their priority areas.
  • Forward plan to ensure the Chief Technology Officer is well prepared and organised. 
  • Where necessary, prepare briefings for the Chief Technology Officer for meetings and events.
  • Prepare travel arrangements, accommodation and attendance at external events, including their potential visits to other office locations, external meetings or engagements.
  • Book meeting rooms as required across the MoJ estate and externally. 
  • Support the write up and action capturing by creating accurate minutes at some CTO led meetings.
  • Helping to arrange some CTO events such as hackathons and project reviews.
  • Maintain processes, systems and information/records.
  • Building and maintaining a strong network across the function and the department.
  • Work with the CTO business manager to coordinate activities and meetings to ensure alignment to the overall CTO delivery plan

Person Specification:


  • Diary management in a busy, pressured and complex environment.
  • Quickly building a sound, high level knowledge of a function or organisation.
  • Managing a wide range of issues with diplomacy and discretion.
  • Strong communication skills, both written and verbal.
  • Organising and prioritising work in an environment with high levels of change.
  • Proactive and efficient with the ability to deliver at pace.
  • Building relationships easily with people at different levels of an organisation.
