The Role

We’re recruiting a Business Support Manager here at Justice Digital, to be part of our warm and collaborative Strategic Initiatives team, which sits within our Technology Directorate.

We are looking for a highly motivated and organised person to support the Deputy Director, Technology Services Delivery at an exciting time of departmental growth.

As a Business Support Manager, you will provide administrative assistance including but not limited to: Diary and inbox management, coordinating with the Senior Leadership team, submissions of Business Cases, travel arrangements, accommodation and preparation for attendance at external meetings.

The ability to work independently with minimal supervision and to build and maintain effective relationships with a variety of Stakeholders, both internal and external, will be essential.

Key Responsibilities:

  • Supporting the Deputy Director, Technology Services Delivery by managing their workload and priorities through comprehensive, prioritised diary management.
  • Organising and preparing for meetings, including gathering documents and attending to logistics of meetings
  • Drafting minutes and actions and monitoring progress on actions and other general commissions emerging from meetings.
  • Preparing travel arrangements, accommodation and preparation for attendance at external events, including their potential visits to other office locations, external meetings or engagements.
  • Drafting, reviewing and sending communications on behalf of the Deputy Director, Technology Services Delivery.
  • Overseeing the recruitment and onboarding of new starters along with maintaining the process for any leavers and movers.
  • Supporting central requests for information, including Freedom of Information (FOI) and Parliamentary Questions.
  • Delivering ad hoc projects to improve operations and the efficiency of the team.
  • Maintaining processes, systems and information/records.
  • Building and maintaining a strong network across the function and the department.
  • Working collaboratively with the wider team to drive business outcomes.
  • Managing the teams’ Security clearances as one of the National Security Vetting Contacts (NSVC).
  • Supporting the Technology Services Business Manager in key projects to improve the operations and efficiency of the Technology Services department.
  • Supporting the department by maintaining people data, learning and development records, email distribution lists and other ad hoc tasks.
  • Organising training courses for the wider team.

 Person Specification

Essential

  • Prior experience in a support or administrative role at a senior level; for example Executive Assistant, Senior PA, Office Manager.
  • Highly organised with a high level of confidentiality
  • Strong communication, both verbally and in writing, at all levels.
  • Demonstrable experience working with a range of key stakeholders, building effective working relationships both inside and outside of an organisation.
  • IT literate with good working knowledge of Microsoft Word, PowerPoint, and Excel.

Security Clearance (SC)
