What we do

Background

The Northern Ireland Office represents Northern Ireland interests at a UK Government level and UK Government interests in Northern Ireland. We have a wide range of responsibilities, including: underpinning political stability in Northern Ireland; overseeing the Northern Ireland devolution settlement; leading on national security policy in Northern Ireland; addressing the legacy of Northern Ireland’s past; delivering elections and constitutional reform in Northern Ireland; playing a key role in rebalancing the NI economy; representing NI interests, including on the border with Ireland,following the exit from the EU. Our small size and diverse portfolio create a stimulating, fast-paced and challenging working environment, with regular engagement with a range of Ministers and senior officials. We support flexible working and have a modern, flexible IT system which helps enable this.

About the Role: 

This is an exciting, varied, and rewarding role at the very heart of the Northern Ireland Office. You will join a friendly, high achieving team, where no two days are the same. We are looking for someone with a positive, can-do attitude who is ready to get stuck in to support ministers facing some of the toughest issues in the UK today.

You will play a critical role in ensuring the efficient running of Ministerial offices, balancing their competing demands and responsibilities. You will have full responsibility for the diary of at least two ministers, which includes scheduling, logistics, and liaising with stakeholders. This will require you to work across Government and beyond, from parliamentary offices to CEOs in the private sector, policy officials to wider Northern Irish Civil Society; a much broader exposure than is usual at this grade. You will support the wider private office in key processes, including managing cabinet committees, FOIs and a broad variety of Ministerial competencies . 

This is a role that will be suited to someone organised, communicative and attentive to detail. This is a fast-paced environment, so the successful candidate will be adapting to exciting, dynamic circumstances. Being able to make informed decisions independently and with confidence will be key. That said, you will be supported by a team of private secretaries, all of whom are working together to deliver the best possible service to ministers. Your positive, can-do attitude will be much more important than direct experience in being successful in the role.

Duties and Responsibilities:

The main responsibilities of the role include but are not limited to:

●    Leading on the diaries of at least two ministers, with responsibility for planning and facilitating meetings autonomously. Working with private secretaries to prioritise meetings and events, scheduling meetings to ensure there are no conflicts and managing ministers’ various responsibilities;

●    Arranging travel; communicating and working with partners across Government and beyond, in Belfast and internationally, to support each Minister on their regular visits;
●    Building strong working relationships with the Ministers, Special Advisers, Private Office and officials across the Northern Ireland Office, as well as across government;

●    Supporting on a range of office processes, including processing correspondence and invitations.

Essential Criteria: 

●    An excellent work ethic and positivity, with a can-do, problem-solving mentality;

●    The ability to manage competing demands and priorities, remaining calm under pressure. Excellent organisational skills and attention to detail; confidence in handling a range of information, making autonomous, informed decisions to make the best use of Ministerial time;

●    The ability to build strong relationships with a range of stakeholders internal and external to Government, including Ministers and colleagues in other departments, and the ability to deliver messages to them that may be difficult at times.

Desirable Criteria: 

●    An understanding of the Northern Ireland political system and an understanding of the work of the Northern Ireland Executive would be advantageous, but is not essential.

The selection and interview process will consist of two stages:

Security Clearance              Security clearance to SC level will be required for this post.

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Security Clearance (SC)
