Job Purpose

We have a position going for a Band D Business Support Assistant to join a new role within Judicial and Legal Services Directorate. We are looking for the jobholder to provide high level and professional diary management and administrative support to the Director. As well as supporting the Business Manager with corporate functions and returns. This is a business-critical role as supporting the Director and Business Manager is vital in the successful delivery of MoJ objectives and the delivery of a quality service to the department. The job-holder will also provide additional business support to the wider directorate located in 102 Petty France, if required.

Overview of the Judicial and Legal Services Policy Directorate & International and Rights Directorate

The Judicial and Legal Services Policy Directorate is responsible for managing the important interaction between the department, the Government and the Judiciary and Legal Services profession. This includes supporting the Lord Chancellor in fulfilling his constitutional and statutory responsibilities; working to secure the best deal from EU exit for the legal profession; and working in partnership with the judiciary and legal sector to enable them to continue to be unrivalled around the world, fostering innovation in the UK and promoting English Law and legal services overseas.

Responsibilities

The list of duties below is not meant to be exhaustive and the post holder is expected to accept any reasonable alterations and additional tasks of a similar level when necessary:

  • To proactively manage the Director’s diary and email inbox according to priority, acting as a first point of contact.
  • Co-ordinating both internal and external meetings for the Director (including room bookings, greeting and escorting visitors, printing agendas, briefing and meeting papers, conference calls).
  • Supporting the Business Manager with Corporate Returns which could relate to different areas the business such as finance, risk, security vetting and other HR processes.
  • Producing and controlling actions and tasks logs to guarantee that work is completed on schedule.
  • Assisting with recruitment activities to support the Directorate (including arranging interviews, liaising with the HR team, photocopying documents).
  • Supporting the Director and DDs in their engagement with the team and, as necessary providing general administration support to the team , working in conjunction with the Business Support team.
  • Arranging business travel and overnight accommodation for the Director, as well as performing other HR functions as required such as claiming expenses.

Experience

The post holder must be a competent and organised individual who is keen to learn and able to demonstrate experience in the following areas:

  • Experience of working in an administrative role and/or providing support with a customer service ethic.
  • The ability to work autonomously and within a team, exercising sound judgement and taking the initiative.
  • An ability to plan, organise and work well under pressure, managing conflicting demands effectively.
  • Experience of dealing with finance related queries such as invoices or dealing with financial returns would be advantageous. As well as knowledge of risk procedures and other corporate functions.
  • Effective and confident communication skills including an ability to liaise with a wide range of colleagues with clarity, both verbally and in writing.
  • Good command of the English language and good note-taking skills for minute taking and writing correspondence.
  • Confident and proficient in the use IT including the ability to use Excel, Word, Outlook, and PowerPoint.

Additional Information

The successful candidate(s) will take part in a comprehensive and interesting induction programme which may include the opportunity to visit prisons, courts, the Houses of Parliament, and other such front-line services.

Interest in the Ministry of Justice and its work, as well as the wider Civil Service, is important.

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.
