Operational Delivery

 

To assist in the day to day activities of the Facilities Team & support the OPG Estates Manager/Estates Lead and Health & Safety team

Ensure contractors, suppliers and visitors are dealt with in a profesional manner and are made aware of health and safety and security arrangements, providing building proximity passes ensuring they are kept securely.

  • Work to agreed targets and indicators, managing resources and using ICT systems to support your work.
  • Manage contentious or sensitive issues, referring to your manager when necessary.
  • Participate in and promote within team a culture of continuous improvement and excellent service delivery.
  • Provide support with maintaining consumables, resources and stationery across the business in a timely manner
  • Seek support after guidance from Manager from specialist colleagues to improve knowledge and understanding when maintaining and producing financial documentation.
  • Ensure documentation is maintained in line with policy and guidance.
  • Support in the production and maintenance of all supporting documentation including

     financial spreadsheets associated with the post.

  • Provide a secretariat supporting role to the team, with producing and

     maintaining all relevant documentation of any meetings held to an agreed standard.

  • To support the wider team by maintaining inboxes identifying requests for change

     and other priorities within the business objectives and ensure they are dealt

     with in line with the prescribed process.

  • Supporting in promoting flexible/smarter working principles so that they are fully

   embedded within the business model, making maximum use of space available and desk

     allocation.

  • Ensuring that the OPG Facilities/Estates manager/s are kept up to date with progress.     

 

Due to the nature of the role some travel to other OPG and MOJ sites may be required.

Responsibilities will include

Maintain regular liaison between Axis, Embankment and Petty France Facilities Management, Health & Safety Teams and business partners highlighting issues should they arise with the Facilities team leader.

Provide support to the team when liaising with contractor’s security & cleaning staff.

Promote a culture of excellent service delivery and continuous improvement

Liaise with colleagues to ensure that work is effectively completed and to foster good working relationships

Proactively look for ways to improve service delivery, and work with colleagues and you manager to suggest and introduce improvements.

Participate in evaluating and improving your own performance: regularly review your performance record to assess your strengths and areas for development, and work with your manager to identify learning opportunities

Work flexibly within the team to support and contribute to the aims, objectives and performance of the Estates/Facilities/Health & Safety and all other OPG teams.

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.
