Job Purpose:     

This role is paramount to ensuring the reception of visitors and staff is undertaken in a professional and efficient manner. As the first point of contact it is essential that the postholder is able to communicate effectively and act courteously at all times. To assist with administrative duties.

Duties and Responsibilities:

1.            Receiving and recording visitors.

2.            Receiving and processing telephone calls. Take messages for staff in their absence and ensure that the message is given to the member of staff concerned.

3.            Undertaking both routine and confidential administration, typing and word processing duties.

4.            Receiving and processing incoming and outgoing mail.

5.            Receiving and sending faxes for both staff and visitors to the building.

6.            As and when required undertake such tasks as photocopying and general filing.

7.            Ordering stationery and maintaining constant level of stationery stock.

8.            To develop and maintain effective working relationships with colleagues and external contacts.

9.            To ensure that personal skills and knowledge are maintained and updated on an ongoing basis.

10.          Attendance at relevant training courses.

11.          To ensure confidentiality is maintained.

12.          Adhere to health and safety requirements and report any health, safety or security risks to your line manager.

13.          To carry out any other duties commensurate with the grade as directed by the Team Manager/Senior Administrative Officer.

Working Arrangements & Further Information

Standard working hours are 37 hours per week excluding breaks which are unpaid.
