Background

HM Courts and Tribunals Service (HMCTS) is responsible for the administration of the criminal, civil and family courts and tribunals in England and Wales and non-devolved tribunals in Scotland and Northern Ireland. Our vision is to have an efficient and effective courts and tribunals system which enables the rule of law to be upheld, and provides access to justice for all.

Significant investment has been made by HM Treasury to allow HMCTS to provide a more accessible system which is modern and responsive, treats those who use our service with dignity and respect, and which provides better value for money for the taxpayer.

This role is to provide typing and administrative support to judges appointed to the Upper Tribunal Administrative Appeals Chamber (UT(AAC). The UT(AAC) is one of four chambers of the Upper Tribunal which makes decisions in legal disputes. It processes appeals against decisions made by certain lower tribunals and organisations.

The key purpose of the role

Working within the Chamber Presidents’ Office means that we have high expectations of all our staff whatever role they play. HMCTS is continuously adopting new or better ways of working. It is important that staff not only have good administrative skills but are willing to contribute in weekly meetings and to explore better ways of working.

    Key responsibilities

    Operations

    • Typing up tribunal decisions and other documents. Liaising with judges regarding any necessary corrections.
    • Entering data onto in house IT systems
    • Keeping records of work using Microsoft word and excel
    • Maintain accurate filing and retrieval systems
    • Answer general ad hoc enquiries from the judiciary
    • Assisting line manager with judicial training events
    • Using an IT system to book hotels and rail bookings for judges

    Processing and managing workload

    • Engage with staff across the Chamber Presidents’ Offices to ensure that workload is appropriately managed.
    • Look for ways to improve working practices

    Communicating with the public, the judiciary, other court and tribunal users and representatives of other agencies and organisations

    • Maintain effective working relationships with the judiciary, supporting agencies, voluntary and user groups. Working with agencies to improve the level of service offered to users.
    • Provide feedback to staff, judiciary and other stakeholders on performance against targets.

    Accountability

    • Reporting to the Chamber Presidents’ Office line manager.

    Other duties

    The post holder is required to work in a flexible way and undertake any other duties reasonably requested by the management team which are commensurate with the grade and level of responsibility of this post.

    Skills & Qualifications

    5 GCSE passes (or equivalent) grades A*-C, or NVQ Business Administration level II or Administrative experience. Relevant IT, word processing and computer knowledge and skills to undertake the level of work required and a willingness to learn new skills as required

    A typing qualification of RSA II (or equivalent) is desirable but not essential. You will be required to sit a typing and audio aptitude test. A good typing speed and level of accuracy are important requirements for the role.

    Working Arrangements & Further Information

    Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.
