About the role

We are looking for a motivated and collaborative individual to join the Communications and Information Directorate. You will join an ambitious and dynamic communications team working at the heart of the justice system.

You will be a key player in helping the wider team to deliver on our priorities. You will be working in a fast-paced environment, balancing competing demands, and delivering challenging objectives. This role involves providing personal assistant support to a number of Deputy Directors as well as helping to manage the day-to-day running of the office.

You will be a confident self-starter with excellent organisational skills to balance the competing demands of the role. You will also contribute to the wider Directorate encouraging continuous improvement and promoting ideas to improve ways of working.

This is an exciting time to join MoJ’s communications team as the department is implementing a major internal change programme. This is a motivated, fun and supportive team and the successful candidate will have the opportunity to actively contribute to the ongoing development and success of the Directorate.

Responsibilities include but are not limited to:

  • First point of contact for all callers and visitors to the Communications and Info Directorate, taking telephone messages and email messages ensuring they are dealt with promptly, efficiently, courteously and with discretion
  • Co-ordinate and maintain diary arranging meetings and appointments for a number of Deputy Directors, ensuring that commitments and competing demands are efficiently managed and future needs anticipated to enable them to operate effectively
  • Undertaking day-to-day financial activity including management of purchase orders and financial administration
  • Undertaking transactional activity to support recruitment, on-boarding, Heath & Safety checks and vetting.
  • Managing travel, hotel bookings and expenditure claims through the central reporting systems.
  • Data collection and performance reporting to support briefings and business activity.
  • Be a proactive member of the Communications and Information Directorate, contributing to the overall impact and professionalism of the team, including encouraging continuous improvement and promoting ideas to improve ways of working.

You will need to demonstrate the following:

  • Developing good working relationships with senior internal stakeholders and the ability to liaise with them confidently and capably.
  • Working collaboratively with colleagues across Communications and Information Directorate.
  • Able to work well under pressure and to tight deadlines. Ability to multitask and prioritise high work volumes in a fast-paced environment.
  • Excellent co-ordination and organisational skills
  • Excellent written and oral communication skills
  • Competent IT user with experience using MS Office

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.

Security Clearance (SC)

To apply for roles in MOJ you will need to confirm your employment history for at least 3 years prior to the date of application so that pre-employment checks (BPSS) can be undertaken. If you have spent significant time abroad (a total of 6 months in the past 3 years) you would be required to give a reasonable account of the reasons why. 

For some roles you will be required to successfully complete National Security Vetting at Counter Terrorism (CTC), Security Clearance (SC) or Developed Vetting (DV) level as a condition of appointment. To meet CTC/SC/DV requirements you will normally need to have been resident in the UK for at least 3/5/10 years prior to the date of application (The level of checks that are required are stated in the advert).

If you do not meet the above requirements, you may still be considered if, for example:

  • You've been serving overseas with HM Forces or in some other official capacity as a representative of HM Government
  • You were studying abroad
  • You were living overseas with parents
