Team Overview:
Civil Service HR Casework Service (supplied by MoJ) is the preferred supplier of HR Casework for small and medium sized Government Departments. To date, CS HR Casework Service (supplied by MoJ) is responsible for delivering a casework service to 43 Government Departments, covering over 38% of the Civil Service’s headcount. The Service is delivered both remotely and face to face. Clients initially access the Service via Email or telephoning a Managers Advice Line (MAL).
The HR Casework Operations and Development Team supports internal and external stakeholders with Knowledge Management, Business Planning, Management Information (MI), Learning and Development (L&D), Engagement and Belonging. This internal support service plays a crucial role in supporting the service delivery of the HR Casework team and wellbeing of team members.
Job Purpose
Support the effective operation of the HR Casework Operations & Development Team and HR Technical Consultancy service within CS HR Casework supplied by MoJ, by undertaking the responsibilities required to sustain business continuity for the delivery of the Casework Service and the HR Technical Consultancy Service.
- Support on the delivery of Management Information, including client performance packs and internal data.
- Supporting in the management of all knowledge within the CSHR Casework team held on Sharepoint and on internal systems.
- Regular contact with client policy teams and Government Legal Department to progress and resolve queries related to cases being supported by Case Managers
- Liaising with internal and external stakeholders to ensure the teams knowledge in relation to client policies and procedures remains current.
- Maintaining systematic processes for updating key knowledge areas that are critical to business delivery.
- Produce weekly team news bulletin “HR Casework Pulse” via Sharepoint for distribution to the whole team.
- Issue any ad-hoc urgent all team communications outside of the HR Casework Pulse cycle.
- Assisting the Heads of HR Casework Delivery in providing the clients with Business Change Communications related to CSHR Casework.
- Support knowledge collaboration and establish effective knowledge management structures including storage, directories, search functionality, and archiving.
- Developing and maintaining a detailed understanding of the CSHR Casework service offering for each client and keeping shared knowledge platforms up to date for the whole team.
- Ensuring that all relevant platforms are updated with relevant client information and intelligence from the Heads of HR Casework Delivery or HR Casework Delivery Managers.
- Liaise with internal and external stakeholders in order to create and maintain strong working relationships.
- Assist in managing the Operations and Development teams functional mailboxes - acknowledging emails promptly with appropriate responses and a strong focus on customer service. Escalate any concerns to the relevant Operations and Development Lead in a timely manner, whilst also seeking to find solutions.
- Support HR Casework Operations & Development team meetings throughout the year, ensuring monthly meetings are in the calendar with a rota of chairperson and note taker in place. Collate agenda items and issue agenda’s before each meeting.
- Support the HR Casework Operations & Development Team with any ad hoc activities and projects.
- Co-ordinate L&D activities across the wider CSHR Casework Team.
- Collate monthly Gifts & Hospitality returns for the CSHR Casework Team, reporting back to the Director and Deputy Director where appropriate.
- Make recommendations towards continuous improvement and implement changes to systems and processes as required.
- Remain compliant with the Data Protection Act by processing data accordingly and deal with information appropriately. Take steps to prevent data losses.

Working Arrangements & Further Information
The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.
For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre-employment checks.
Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.

Annual Leave
Annual leave is 25 days on appointment and will increase to 30 days after five years’ service.
