Overview 

The Performance, Strategy and Analysis (PSA) Group is circa 1,000 people spanning the MoJ’s data, analysis, legal, communications, strategy and innovation and planning and performance functions. Additionally, the DG is providing senior cover for the Digital and directorate. We help to improve MoJ’s impact on outcomes for the public by understanding our performance and developing new insights into how our interventions and public services can improve people’s lives.

About the role 

This is an exciting opportunity to be part of a broad DG area, working with senior leaders to drive evidence-based decision making across MoJ. You will be working closely with colleagues across the department to ensure that the DG is fully supported and able to work effectively with the wider group and senior private offices, including ministers and the Permanent Secretary.
The one successful postholders will be self-starters with excellent communication, time-management and people skills, able to manage a demanding workload. You will be supporting the Private Secretary to the Director General as single point of contact to the Data and Analysis directorate, enabling the delivery of a range of key departmental priorities.

Role and Responsibilities 

•    Act as single point of contact for the Data and Analysis directorate.
•    Manage the DG inbox and correspondence and commissions relating to your policy portfolio, responding in a timely manner.
•    Brief the DG and other senior leaders on matters relating to your policy portfolio, communicating in a clear style verbally and in writing.
•    Keep the DG’s box up-to-date and present items at daily box meetings.
•    Accompany the DG to meetings in your policy area and on external visits, ensuring that he has the necessary supporting materials.
•    Serve as Secretariat for key meetings, putting holds in diaries, preparing the agenda and forward look, noting and following up on actions and assisting with the coordination of away days.
•    Assist the Head of Office and Private Secretary with the running of the private office.
•    Assist the Business Manager with HR, finance and recruitment activities for the private office and wider group as required.
•    Work with the Diary Manager to effectively manage the DG’s time.

Essential skills and experience 

•    Ability to manage a demanding workload and prioritise effectively 
•    Excellent written and verbal communication skills
•    Experience of stakeholder management and ability to build strong working relationships with a diverse range of colleagues
•    Role model behaviours expected within the civil service
•    Experience of providing secretariat support, including minute taking

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.   

For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre-employment checks. 

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.

MoJ candidates who are on a specialist grade, will be able to retain their grade on lateral transfer.

Flexible working hours

Annual leave is 25 days on appointment and will increase to 30 days after five years’ service.
