Job description: Judicial Appointments Commission - Project Coordinator (EO)

The Role

We are looking for a Project Coordinator (EO) to join the Targeted Outreach and Research team. This team has responsibility for projects aimed at improving judicial diversity within the Judicial Appointments Commission. The Project Coordinator will support the Project Delivery Manager and Outreach and Engagement Manager (HEOs) by coordinating support across all project strands and working at pace to manage a wide range of tasks that are often complex and sensitive.

You will work closely with colleagues across the organisation, as well as external partners, to plan, manage and adapt your project coordination skills to support the JAC’s strategic aims, demonstrating confidence with responding to queries with a high-quality customer service focus. The JAC has a statutory duty to select judicial candidates based on merit, whilst supporting the creation of a more diverse judiciary that reflects the society it serves. These principles will underpin your project work.

You will support the work of the Project Delivery Manager and Outreach and Engagement Manager, acting as a point of contact for all communications to the team across all project strands. You will correspond with candidates, judges, and senior stakeholders, carrying out tasks involving the progression, monitoring and analysis of each project. You will help deliver key objectives to both external and internal stakeholders, organising, producing, and maintaining accurate records for each area of work.

The role will also play an important part in supporting the Targeted Outreach team’s Judicial Guide Scheme – which matches experienced judges with candidates from diverse backgrounds during their application journey.

You should relish the challenge of working in a small but dynamic team, collaborating with colleagues who are passionate about the JAC’s mission and be willing to get involved in policy and diversity work outside the standard role remit in order to support the wider team, including high priority projects and publications for the JAC Diversity and Engagement team.

About the JAC

The JAC is an independent body that selects candidates for judicial office in courts and tribunals in England and Wales, and for some tribunals with UK-wide jurisdiction. The JAC was set up in 2006 to maintain and strengthen judicial independence and to make the appointments process clearer and more accountable. The JAC is recognised for its open, independent, and merit-based selection of members of the judiciary. Main Responsibilities

Reporting to the Project Delivery Manager, your main responsibilities will be:

  • Provide a high-quality customer service function, responding quickly to requests from internal and external stakeholders for assistance.
  • Manage the team inbox, responding to queries and escalating queries/ requests to the relevant manager as appropriate.
  • Correspond with relevant stakeholders and agencies to ensure they are aware of key updates.
  • Maintain secure, digital platforms and keep documents, work task planner, online workspaces updated with latest exercises and actions taken.
  • Take ownership of various logs and trackers to support the smooth delivery of the Targeted Outreach programme and Judicial Guide scheme.
  • Manage diary work and ensure action points flow into the forward planner, in line with the Programme.
  • Prepare meeting papers and agendas, ensuring timely distribution. Manage diaries and meeting invites for key stakeholder meetings.
  • Create and update events for the team calendar, take minutes and undertake other administrative tasks as required.
  • Provide administrative support to the Head of Targeted Outreach and Research, undertaking ad-hoc tasks as required.
  • Send out monthly updates to key stakeholders.
  • Support Project Delivery and Outreach and Engagement Managers in collating data for analysis, manual inputting, and statistical reporting across all project strands.
  • Organise consultations and judicial guide matches for candidates and judges.
  • Coordinate training to help the delivery of workshops, drop-in sessions and presentations for Project Delivery and Outreach and Engagement

General:

  • Support effective communications with key stakeholders.
  • Support presentations, update materials, take notes and actions, coordinate calendars.
  • Support project management, update logs and risk registers, track deliverables, flag issues.
  • Support outreach coordination and delivery, liaising with internal stakeholders and colleagues.
  • Support organisation wide compliance with key targeted outreach team policy, including data collation for monitoring and revisions to official guidance.

While the JAC is an independent executive non-departmental public body, we are considered an arms-length body of the Ministry of Justice and share many of the same policies, processes and terms and conditions as Civil Servants employed directly by the MoJ. This includes being part of the MoJ pay remit, enabling transferees from other government departments to retain their continuity of service and Civil Service Pension arrangements.

Though located at Clive House, Petty France, London, SW1H 9AJ JAC staff are currently working in a hybrid way with some days in the office and some days working remotely. It will be necessary for the successful postholder to work at the JAC London location regularly to support business need.

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.   

For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre-employment checks. 

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. MoJ candidates who are on a specialist grade, will be able to retain their grade on lateral transfer.
