Job Description

An exciting opportunity has arisen to join the Independent Monitoring Board and Lay Observer Secretariat as a recruitment and appointments administrative officer. This full-time fixed-term role will be based within a team of 20 staff that supports the work of Independent Monitoring Boards (IMBs) and Lay Observers. Applicants for this post will be motivated, enthusiastic individuals committed to providing excellent customer service to both internal and external stakeholders in a fast-paced recruitment environment. This role would suit applicants looking to build experience in an operational independent arms-length body or those looking to develop skills in an HR field.

You will deliver administrative support in the recruitment of members of the IMB who are unpaid public appointees that provide statutory, independent oversight of the treatment and care of detainees in prisons, immigration settings, and on repatriation flights.

As a Recruitment and Appointments Administrative Officer, you will be responsible for handling the administration processes to support the team’s five Appointments Officers in appointing new IMB members. Your work will involve frequent contact with prospective members, those going through the application and vetting process, IMB Chairs, Regional Representatives, as well as the Management Board and the IMB National Chair. You will also be responsible for liaising with external stakeholders in HM Prisons and Probation Service, and the Home Office in respect of supporting the clearance process for candidates. You may also be asked to assist with editing or uploading information to the WordPress website used to share information with IMBs.

There will also be development opportunities to support projects relating to communications and membership retention, as well as assisting with national events and board meetings.

Duties may include:

  • Processing security clearance (DBS) accurately and efficiently and within agreed timescales
  • Completing administrative tasks associated with the opening and closing of recruitment campaigns within agreed timelines
  • Liaising with both internal and external agencies on the telephone and by email

Data entry tasks to upload applications data onto the IMB database, diversity data to the Cabinet Office website throughout the duration of the campaign period and adding information to the members website

  • Checking and sending documents to internal and external stakeholders
  • Providing ad-hoc appointments support to the team of Board Officers

Skills & Qualifications

Essential Skills:

  • Good written and verbal communication skills with strong attention to detail and accuracy in respect of data entry.
  • Ability to work as part of a team
  • ICT and/or website uploading skills
  • Excellent customer service skills
  • Good organisational and time management skills
  • Experience with standard MS Office packages, (Outlook, Word and Excel)
  • Ability to work methodically on a variety of issues simultaneously
The job holder must be able to fulfil all spoken aspects of the role with confidence in English or (when specified in Wales) Welsh.

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.
