Overview:

We are looking for an experienced individual to provide high level and professional private office management support to the Director of Operations and Strategy within the People Group . You will be responsible for ensuring his priorities are driven forward, communicating these effectively to the Senior Management Team and wider business group, as well as providing an interface to staff at all levels across the Department.

You will need to be well organised and assertive, adaptable and confident with the ability to prioritise a busy workload with conflicting priorities. As a representative of People Group, excellent communication skills and the ability to remain calm and reliable under pressure are also essential.

Directorate staff are both London and nationally based with a flexible working arrangement to suit the needs of the business, which brings an added dimension to developing relationship management skills.

The role will provide an excellent opportunity to work at the heart of MoJ in a vibrant environment, learning how People Group operates within MoJ as well as the wider Civil Service.

Job Description

Key responsibilities include the following:

Develop a thorough understanding of the Director’s priorities and ways of working, and represent him effectively across the department and to internal and external stakeholders.

Act to support the Director in delivery of their aims and objectives, proactively anticipating issues and acting on behalf of the Director as required. Using initiative and responding to/directing queries to relevant parties, ensuring reputation of the People Group is upheld.

Managing the Director’s inbox to prioritise work - highlighting issues that need immediate attention, responding to requests, consulting and advising as well as delegating as appropriate so that only minimal key essential information remains for the attention of the Director.

Establishing and maintaining good working relationships across People Group, and the senior teams across the Ministry, Ministers offices, press office and other key stakeholders.

Develop the knowledge and understanding that would allow you to act autonomously with authority, on behalf of the Director where situations require it – attending appropriate meetings as his representative, making sound judgement in his absence and liaising with the senior management team as issues arise to find solutions.

Commission and prepare high quality briefings, submissions on behalf of the Director. As well as developing communications to the senior management team, external and internal stakeholders and the wider directorate.

Ad-hoc project work as requested – including preparation of business cases and internal investigations.

Managing business area activities, for example business reporting, organisational re-design and management information to senior management team.

Taking accurate minutes / actions where necessary and following up/ensuring actions are complete.

Management responsibility of up to 4 Band D diary manager ensuring they are fulfil their day to day duties, and make the best use of their Divisional Director’s time. This includes diary management, preparing papers for meetings and liaising with counterparts across the MoJ.

  • The ability to learn quickly, and work autonomously and within team – always exercising sound judgement and taking the initiative. The ability to plan, organise and work well under pressure – managing conflicting demands effectively.
  • Strong interpersonal and time management skills
  • Ability to act in a highly confidential manner and exercise discretion
  • Proficiently in Outlook, Word, Excel and PowerPoint.

Desirable:

  • Experience of working in a private office function or dealing with internal and external relationships, particular at senior and Executive levels

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.
