Introduction:

Her Majesty’s Courts and Tribunals Service (HMCTS) is an agency of the Ministry of Justice (MoJ) and provides the supporting administration for the Judiciary across England and Wales.  It delivers services to the public directly in court and tribunal buildings, remotely via Business Centres and digital services online. 

The Digital & Technology Services Directorate is responsible for creating high quality digital products and services, modernising the court estate, updating and replacing its technology, speeding up and streamlining working practices, refurbishing buildings to reduce maintenance costs and provide much improved services for service users, especially vulnerable witnesses and victims. HMCTS Digital & Technology Services Directorate has deployed Microsoft Office 365 (MS365) to c25,000 judges. It is known as eJudiciary. This Digital Administrative Support role is as part of a dedicated team that supports the Judiciary and selective HMCTS staff with the provision of the eJudiciary service. The team oversees the maintenance and monitoring as well as the development and delivery of new requirements using MS365. 

Support is also provided to the judiciary on other products as well as advice and guidance that includes departmental/government/judicial policies for the use of digital services. The role will report to the Judicial and Royal Courts of Justice Group (RCJG) Lead Digital Support

Job Description

  • To provide support to the Head of Judicial and RCJG and the eJudiciary Support Team
  • To undertake the procurement of IT hardware and software ensuring accurate financial record keeping.
  • Support the eJudiciary end to end service for resolving incidents and problems, making changes to the service and providing system enhancements
  • Act as a point of contact for the judiciary, senior stakeholders and the wider directorate of HMCTS, and be responsible for analysing and escalating queries raised using your knowledge base and judgement
  • To provide appropriate and timely responses to issues, including channelling requests to the appropriate team, monitoring resolution activity, keeping customers appraised of progress and suggesting improvements to service delivery
  • Responsible for reviewing and amending documents, reports and user guides, demonstrating attention to detail and problem solving
  • To have the ability to work both independently and as part of a team, proactively and with versatility in responding to changing circumstances is essential 

Key responsibilities

  • Take ownership for the purchase of hardware and software on behalf of the office. Prepare documentation for suppliers to provide quotes for goods and services, raise purchase orders and receipt goods. Quality check and maintain accurate financial documentation within the monthly finance report and supporting documentation.
  • To proactively contact suppliers to resolve any failed deliveries, invoicing or queries.
  • To raise any unresolved financial queries to the Judicial and RCJG Lead Digital Support
  • To produce and submit the monthly financial accruals ensuring sign off is obtained by the Deputy and Head of Judicial and RCJG.
  • To undertake a quarterly review of POs with the DTS Finance Team ensuring that all open POs are correctly recorded.
  • Update financial and other process documents where applicable, demonstrating a high degree of accuracy and to collaborate with the wider team to obtain signoff
  • Analyse and escalate judicial support queries to the appropriate person. Answer less complex eJudiciary 2nd line Support issues raised by the judiciary and provide support when completing more complex issues.
  • Create and maintain professional relationships with HMCTS staff, in order to understand RCJG IT systems. Take ownership of the RCJG Master List of Applications ensuring content is kept up to date and accurate.
  • Continual identification and understanding of the digital needs of the Judiciary in order to propose changes and improvement to their service.
  • Lead on the testing of software and hardware as instructed by the Lead Digital Support. Capture test issues, outcomes and recommended next steps. Provide the Lead Digital Support with delivery timetable for the completion of testing.
  • Provide input into meetings/workshops with suppliers, stakeholders and judiciary.
  • Provide administrative support to the office; arranging meetings, taking minutes and ensuring actions are both captured in turn completed; ensure attendees at meetings are given up to date information and act as a contact point for attendee’s queries.
  • Undertake regular monitoring and reporting of the Workload Planner, providing reports to the Head of the Judicial and RCJG. To liaise with the wider team to ensure it is regularly and accurately updated, reporting any issues to the Head of the Judicial and RCJG.
  • To work with the Lead Digital Support and the wider team to complete the delivery of larger projects. Assisting with the drafting of communications, updating and maintaining accurate documentation, the deployment of goods and liaising with stakeholders to ensure tasks are completed on time.
  • To undertake in the dispatch of hardware from the RCJ to both the national judiciary and to staff and the senior judiciary within the RCJ and Rolls building.
  • The post-holder is required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post. 

Skills and Experience: 

Essential Criteria:

  • IT literacy, competent in Office applications, Word, Excel, Powerpoint
  • The ability to make decisions using relevant information, knowledge base and documented processes
  • Interpersonal skills to aid collaboration with team members, liaising with suppliers, senior stakeholders and the (senior) judiciary
  • Excellent writing skills, with the ability to work with and prepare reports
  • The ability to problem solve and anticipate problems, ideally providing a solution or preparation of potential issues 

Desirable Criteria:

  • Office 365 experience is desirable, but training can be provided.
  • Experience of procurement of IT hardware/software.
  • Knowledge and understanding of IT systems used within HMCTS and RCJ is desirable

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post.
