Role Purpose 

MOJ Group Security is looking to recruit an Administration Officer to support us in the delivery of a high-quality Personnel Security and National Security Vetting (NSV) service to the wider MOJ estate.

The post holder will be responsible for providing high quality administrative support to ensure the smooth running of the department, as well as supporting the effective delivery of small system changes across a range of business processes, which are vital in ensuring the MoJ Group Security are able to effectively manage the personnel security issues across MoJ including the delivery of National Security Vetting (NSV) services in conjunction with our vetting provider, Cluster 2 Security.

The role is part of the Government Security Profession (GSP) and sits within the Personnel Security specialism. GSP is one of the recognised career progressions within the Civil Service and offers a challenging and rewarding career.

Although experience in personnel security or National Security Vetting is preferred it is not essential. This role is also suitable for career changers, graduates, returnees to work, amongst others, there really is no single ‘type’ of person who can succeed in this role.

Main Activities / Responsibilities

This is an ‘admin heavy’ role in a busy department so we are looking for the right candidate to help us deliver on our objectives. The job holder will be required to undertake the following duties and responsibilities:

  • Provide high quality administrative support to the department and relevant senior managers
  • Ensure that the MoJ Group Security Team mailbox is managed appropriately and that all queries are responded to in a timely manner
  • Maintain the National Security Vetting Contact list and the National Security Vetting Matrix
  • Support the Personnel Security Advisor in delivery of National Security Vetting Contact and Insider Risk training sessions, working towards being able to deliver sessions independently.
  • Provide secretariat function in support of any governance process or steering groups established in support of personnel security, including maintaining the personnel security actions logs and risk register
  • Support the team in the development, implementation and management of automated processes.
  • Support effective communications of policies, processes and guidance to all relevant stakeholders
  • Assume responsibility for updates Intranet pages, policies and processes
  • Record and manage security incidents and trends
  • Assess and approve policy dispensation requests, such as Residency and onboarding at risk
  • Administrate the department’s security incident management tool (Surecloud)
  • Contribute to the effective planning, delivery of other projects and administrative tasks, as necessary
  • Continually explore and undertake personal and professional development opportunities

Person Specification:

Essential Skills

  • Experience of and a high level of competence in, administrative tasks gained through working in an office-based or other relevant environment (private/public sector).
  • Experience of stakeholder management and customer service provision.
  • An understanding of the principles of data protection and a strong commitment to confidentiality and discretion when handling sensitive personal or organisational data.
  • A high level of competence with MS Office365 products, including MS Word and MS Excel.
  • A proven ability to deliver an ‘at volume’ service consistently and at pace, whilst adhering to service and policy standards.
  • A willingness to undergo National Security Vetting in order to achieve SC, including ongoing adherence to the standards and behaviours expected of a clearance holder.

Desirable

  • A background in personal security, particularly a knowledge of National Security Vetting processes and administration tasks.
  • Qualifications and/or experience with Microsoft Power Automate.
  • Experience in delivering presentations, training, and briefings in a professional environment.

The majority of the team is currently based in London, however, the successful candidate may choose one of the MOJ's Justice Collaboration Centres (JCCs) or Justice Satellite Offices (JSOs) as their home office. Current locations outside of London include offices which are in or near to Birmingham, Sheffield, Manchester, Leeds, Liverpool, Cardiff, Brighton and South Tyneside. 

Please be aware that this role is not available as a fully remote working position and you will need to attend an MOJ office regularly, though some hybrid working is possible. You should anticipate working from an office at least two days per week. 

If you are based outside London then you may occasionally be required to attend London HQ. This is likely to be no more than once per month. Some travel to other regional offices may also be needed, but infrequently. 

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.

For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre-employment checks.

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.

Annual Leave

Annual leave is 25 days on appointment and will increase to 30 days after five years’ service.

Security Clearance (SC)
