The MoJ Property Directorate is a customer focused organisation that exists to enable our customers to perform to their very best.  We do this by providing high quality, easy to use services, and working environments that our customers want to work in, which support them to deliver their individual outputs efficiently.  Our job is to manage one of the most diverse and complex estates in Government – hosted by the Ministry of Justice (MoJ).  The MoJ Property Directorate brings together a property portfolio including Prisons, Probation, and MoJ HQ and Arm’s Length Bodies.  We also provide property services on behalf of the Home Office.

MoJ Property provides specialist services including facilities management, health and safety, fire safety and security, technical design expertise, and sustainability.  We also have business management teams who support the entire Directorate and each of our partners is supported by account management teams.  We are responsible for a great deal - our portfolio consists of properties valued at £8.5bn for the MoJ alone.  We are part of the Government Property Profession (GPP) and through active membership and engagement we will work with the Office of Government Property to develop the maturity of the profession and also encourage our people to join the GPP. We continue to build our capability through training and recruitment, aspiring to be the best that we can be as individuals and as a directorate.

In this role, you will be part of the Climate Change and Sustainability Unit (CCSU) – an exciting multi-disciplinary team within the MoJ Property Directorate. Our mission is to develop, deliver and embed key MoJ and wider Government sustainability programmes throughout our entire estate. Team Overview

You will be part of a lively and creative multidisciplinary team responsible for the delivery of key MoJ sustainability priorities. We work collaboratively across our areas of expertise to deliver positive environmental outcomes across a large range of themes including:

•    Meeting the Greening Government Commitment (GGC) targets,
•    Energy management & carbon reduction in line with our net zero carbon strategy and delivery plan, 
•    Waste management and circular resource models,
•    Water efficiency,
•    Sustainable construction,
•    Sustainable procurement,
•    Sustainable travel,
•    Biodiversity protection and enhancement. 

The Climate Change and Sustainability Unit is responsible for embedding environmental sustainability across MoJ, its agencies (including prisons, courts and probation centres) and its Arms Length Bodies; through policy making, operations, finance, governance, estates and commercial activity. Working in a large and diverse organisation presents the team with huge scope to deliver national scale sustainability leadership.

Role Overview 

The focus of the role will be supporting the Climate Change and Sustainability Unit by providing administrative and business support. The work of the team is cross-cutting, reaching across the whole of the MoJ and its agencies and is fast-paced. We are looking for someone to help manage requests and queries received, support team members with procurement and financial transactions, and potentially support some environmental sustainability projects.

Job Description, Duties and Responsibilities 

The post holder will: 

•    Provide financial support which will include working with team members to add suppliers on to our system, to raise purchase orders, track activity in line with financial processes through to payment of invoices. Appropriate processes and assurances will need to be understood and fulfilled and a good working relationship with our finance team will need to be established.
•    Support recruitment processes by tracking progress of recruitment campaigns, by preparing for new starters to arrive and supporting the induction process.
•    Work with the CCSU Team to track and plan CCSU’s timely contribution to regular quarterly meetings such as the Audit and Risk Committee (ARAC), the Finance, Performance and Risk Committee (FPRC) and others.
•    Support CCSU information management including managing and developing the team filing structure on MS Teams and on MS Explorer. This will include avoiding duplication and retaining key information in line with MoJ requirements.
•    Provide general administrative support to the team: booking meetings, arranging building passes, where necessary book travel and accommodation for team members, support delivery of Team and Division away days, support CCSU response to the annual People Survey, renew CCSU licences and subscriptions (e.g., to professional bodies), monitor CCSU enquiries inbox.

The post holder is expected to be a good communicator, have a positive can-do attitude and work well in a team to progress shared tasks.  A flexible approach is required, to provide administrative and business support as required.

They should display a commitment to continual improvement and be capable of working independently and confidently at pace.

Hybrid Working

Hybrid working enables employees to work partly in their workplace(s) and partly at home. We offer flexible working as a benefit to employees where the business needs allow. This role will involve some hybrid working with travel to sites and HQ in Petty France as and when required.

The role will involve travel to regular (eg. once a month) team meetings and could also include occasional travel to MoJ establishments and supply chain stakeholders throughout England and Wales as necessary.

Flexible working hours 

The Property Directorate offers a flexible working system subject to local agreement. Requests for reduced hours contracts will be considered in line with business needs.

This post is advertised as Permanent & Full Time, part-time applicants will be considered under job share arrangements. The unit is supportive of and encourages flexible working and compressed hours candidates will also be considered.

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service.
