Event Organiser Team Leader, Planning and Operational Support Team, Judicial College – Executive Officer (EO)

The Judicial College has an exciting opportunity for an Executive Officer to join its Planning and Operations Team (POpS) to lead a team of event organisers based in the London office within the Royal courts of Justice, London
The Judicial College is part of the wider Judicial Office, which is a unique branch of the Civil Service dedicated to supporting judicial independence, to maintain confidence in the rule of law.  The Judicial Office assists the Lord Chief Justice and the Senior President of Tribunals to fulfil their responsibilities to the judiciary (about 25,000 judicial office holders), and an ever-evolving justice system. 

The Judicial College is a very busy and high-profile section of the Judicial Office.  We are responsible for judicial training and we currently deliver approximately 400 judicial seminars each year and have a budget of approximately £15.5 million.  This is an exciting time for the Judicial College as our training programme is expanding to address judicial training needs emerging from HMCTS Reform work and EU Exit.  In addition, the College is continuing to develop its methods of delivering training to incorporate more digital platforms, increasing its use of e-learning and webinars.  

The POpS Team is the customer facing hub of the College, providing planning and organisational support to judicial training events across the UK.  The team is based over three sites – Loughborough, London and Glasgow.  We make good use of flexible and remote working across our offices. This is a full-time post based in our London office. 

Some UK based travel to venues will be required to support event organisers and training events - the event organisers on your team will cover at event support, your role will be to support them while out at venues and if necessary help cover at event support. This will involve some overnight stays including the occasional Sunday where an event is starting on a Monday. Training events range from one to five days in length and commence on various days of the week. You may also be required to occasionally travel to our other offices for meetings, staff events etc. 

You will be part of a team of team leaders with responsibility for a section of the annual training programme and line manager to between 2 – 6 event organisers. Staff number allocation varies depending on how complex your part of the training programme is, this levels out to an even distribution of responsibility. 

You will work very closely with our judicial training teams, Judicial Office Holders and wider stakeholders, such as the Judicial Office Business Support Team and venue finding agents, to monitor and manage a training programme. 

As the result of the pandemic, the College revised its training programme to focus on supporting priority training needs. Training was delivered digitally in line with public health guidance. We returned to face to face training in September 2021 whilst also continuing to deliver a busy digital training programme. In addition to attending seminars your team will be required to provide some technical online support at digital training events.

We have a strong culture of team working and continuous improvement (C.I.) and all staff are expected to embrace CI as part of their role.

You will report to a team manager at Higher Executive Officer grade.  

Your key duties will be to:

•    Lead and manage your team to support the planning and organisation of a programme of judicial training. 
•    Manage your team supporting people issues including performance, attendance and conduct in line with HR policies. 
•    Establish, monitor and revise plans for the administrative support for jurisdictional training programmes.
•    Work closely and flexibly as part of a team of team leaders and managers to ensure that the wider training programme is effectively managed and resourced, deploying staff and other resources as required.
•    Manage and monitor the maintenance of accurate records of attendees at training events (both prior to and at the event) to assist with budget management. This includes effectively planning and monitoring venue bookings and requirements, accommodation, managing delegate/syndicate groups lists etc.
•    Support senior managers in the design, testing and embedding of new or improved administrative procedures as part of continuous improvement projects.
•    Ensure that there is ‘on the day’ administrative support in place for all face-to-face and digital training seminars.
•    Take responsibility for the set up and management of your training event area on the College’s online Learning Management System. This involves making sure that course pages are set up, oversee online bookings and the addition of course materials etc.  This includes delivering some tasks personally and managing/quality checking others. 
•    Ensure appropriate training venues are booked and that delegates are fully informed of arrangements for events.  
•    Attend training events to provide support for an event or an event planner when necessary. 
•    Take minutes of committee and planning meetings when required.

You will be required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post.

Person specification:
